How To Setup Your Membership Plans

Before you can start using MIS, you will need to setup all your membership plans that you will be offering your members to sign up to.

To add a new membership plan:

  1. Go to the Settings – Membership Plans Menu
  2. Click the + button to add a new membership plan.
  3. Fill out all the settings for this plan on the following tabs.
    • General Tab
      • Name:   Enter any name you want for the plan.
      • Billing Rate: Enter the price that your member will have to pay to join and renew this plan.
      • Tax Rate: All your sales tax rates that you setup under the Settings-Sales Tax Rates menu will load here. Check which tax rate you want the system to use when calculated sales tax when selling or renewing this plan. If you do not check sales tax rates, our system will not charge tax at all.
      • Never Expires: Check this if you want this plan to never expire. If you want this plan to expire at a certain frequency (monthly, yearly, etc) leave this unchecked.
      • Expires Every: Chose the quantity and the frequency when you want this plan to expire/renew/bill. (For example to create a month to month, you will set 1 as the quantity and Month(s) as the frequency.
      • Auto Bill On Expiration Date: Check this if you want the system to put the member on auto bill automatically when they sign up for this plan.
    • Family Tab
      • Allow Family Members:   Check this if you want to allow a member to share this plan with his family members. If you leave it unchecked, the system will not give the option to add family members to this plan.
      • Unlimited Family Members Allowed: Checking this will allow a member to share this plan with as many family members that they want.
      • Maximum Number Of Family Members Allowed:  Set the maximum number of family members that you will allow a member to add to this plan.
      • Family Rates: Add all the family rates that you want the system to charge when the member shares a membership plan with its family. If you do not want to charge extra for family members, then you do not need to add any rates at all.
      • Auto Assign Family Rates: Check this to tell the system to automatically generate the invoice including the extra family member charges that the member will be charged when joining and renewing this plan. (For example, lets say you set the Billing Rate as $50.00 on the General Tab and you add a family rate of $25.00. If a member shared this plan with one family members, the total amount to be charged will be $50.00 + $25.00 = $75.00)
    • Check Ins Tab
      • Unlimited Check Ins:  Check this if you will allow the member to use this plan to check into your club as many times as they want as long if their membership plan has not expired.
      • How many times can a member check in?: Enter the total number of times a member can use this plan to check into your club while their membership plan has not expired.
      • Roll Over Unused Check Ins: Check this if you want the system to roll over any unused check ins when they renew the plan. If you leave this unchecked, any unused check ins will not be carried over when they renew.
      • Disallow Use Of This Plan For Check Ins: When this is checked any member that has this plan assigned will not be able to use this plan at check in.
    • Agreements Tab
      • Required Agreements: Add all agreements that are required for a member to electronically sign when they join this membership plan. Clicking the Change link will open up all your agreements that you setup under Settings-Agreements with Membership Plan as its type. If all your agreements/waivers are universal, meaning that all members will sign the same agreement/waiver regardless of what membership plan they sign up to, then you do not have to do anything here.
    • Display Tab
      • This tab allows you to change the display text that your member’s will see for this plan when they sign up on your customizable online portal. Each membership plan that you put on the online portal, will display with their own card, making it easy for your members to sign up without front desk intervention. When you change the text on the right hand side, you will see the changes on the left hand side instantly.
    • Sign Up Tab
      • Prorate to the 1st of the month:  Check this if you want our system to prorate all your members to the 1st of the month when they sign up. The system will automatically do the math for you on what to charge your members when they sign up.
      • Prorate to the 15th of the month: Check this if you want our system to prorate all your members to the 15th of the month when they sign up. The system will automatically do the math for you on what to charge your members when they sign up.
      • Minimum number of days until next bill date to charge prorate + first bill amount when signing up.: For example, lets say you set the system to prorate to the 1st of the month. If you put 5 here and someone comes in to sign up 2 days before the 1st of the next month. Since 2 comes before the 5 you put here, our system will charge the prorate amount for the 2 days and also the next month. If they sign up 6 or more days before the 1st, the system will just charge the prorate amount and their expiration/renewal date will be the 1st of next month. If you put 0 here, our system will just charge the prorate amount in all situations.
      • If you do not choose to do prorating, the member’s expiration/renewal date will be the same day every frequency. (For Example, if a member signs up for a monthly plan on the 17th of June, their next expiration date/renewal date will be the 17th of July and so on)
      • Signup Fees: Add all your signup fees that you want to charge your member when they sign up for the first time. (Example: Enrollment Fee, Key Tag Fee, Last Month Fee, etc)
    • Discounts Tab
      • Currently the system supports adding discounts based off of age. (For example, if you want to apply a Senior discount that deducts $5.00 off their rate for anyone 60 years or older, then you can add a discount item and set the Description as ‘Senior’, Age From as 60, Age To as 200, Action as ‘Deduct’, and Amount as 5.)
    • Override Tab
      • Override:   Check this if you want to override the current rates for this plan. This can be used when you will be offering a promotion where you want to give a lower rate for like the first two bills, then after the promotional period, the override will be turned off reverting the member to the actual rate.
      • Override Forever: Checking this will set the override to be applied forever.
      • Billing Rate:  Set the rate you want the override to apply.
      • Number Of Bills To Override:  Set the number of bill you want to override to apply to. (For example, if you put 2 here and the plan’s frequency is Monthly, then after two bills, including the first month bill at signup, the system will automatically take them off of the override.

To edit an existing membership plan do the following: (Warning: Changing membership plan settings, will automatically update all existing members that are tied to the plan you are editing. If you want to change the rates, etc and you do not want your existing members to change their rates, then we recommend you create a new membership plan instead of editing.)

  1. Go To Settings – Membership Plans Menu
  2. Click the Edit link next to the membership plan you want to edit.
  3. Change any settings and press the Save button.

To delete an existing membership plan do the following:

  1. Go To Settings – Membership Plans Menu
  2. Click the Edit link next to the membership plan you want to delete.
  3. Click the Delete button.
  4. Confirm that you want to delete.
